CONDITIONS OF BOOKING
PLEASE TAKE TIME TO READ THIS, ALTHOUGH NOT PARTICULARLY INTERESTING A LOT OF THIS IS IMPORTANT ESPECIALLY TERMS RELATING TO CANCELLATION AND LIFE-THREATENING NUT ALLERGIES
Rooms must be pre booked, we are unable to take guests who have not booked WE DO NOT ACCEPT CHILDREN—THE MINIMUM AGE IS 18YEARS
Cancellation: your reservation is made with Peter and Lorraine Apolon trading as Beech Grove House (bgh) and represents a legally binding contract between you and bgh.
We require a valid credit/debit card to secure bookings and reserve the right to charge the card for cancellations falling outside the permitted time scales, as detailed below. Credit card payments will be subject to a 2% surcharge
A payment of a non-refundable deposit of £50 required within 3 days of your booking to confirm your accommodation request. We can take most card payments over the telephone. Cheques should be made payable to Beech Grove House. For bookings of 2 rooms or more, and/or 3 nights or more, and public holidays, we require a minimum of 21 days notice of cancellation or amendment of any reservation to avoid a cancellation charge of at least 50% of the total value of the reservation as detailed in the confirmation letter. For other bookings a minimum of 5 days notice is required. At the sole discretion of the proprietors, the charge MAY be waived in part if we are able to re-let the cancelled room(s) in part, and WILL be waived in full if the total value of the booking can be replaced in full. Please note that DISCOUNTED RATES FOR LATE BOOKINGS are non-refundable under any circumstances. Please note offers may not be used in conjunction with any other offer or special package rate and that ALL special offers or discounted rates exclude Friday and Saturday night.
By entering into this contract you are authorising us to make the above charges to the card without any additional consent being required.
Written (or e mail) confirmation of a booking will be sent out, please check the details and notify us of any errors or omissions
Arrival and departure: rooms will be available from 4 pm on the day of arrival and must be vacated by 11am on the day of departure Bed and breakfast: bookings include a full English breakfast for meals taken in the dining room, if you take breakfast outside of the dining room a continental breakfast will be provided
Dietary requirements: we regret that we are not able to accommodate any person(s) with a serious and/or life-threatening nut or food allergy as we cannot guarantee the provenance of every item of food in our kitchen. We shall try to cater for any other dietary needs, but as we are a small operation we cannot guarantee availability of specialist produce The room you book is the one you will stay in* * this applies only when rooms are booked direct, for any bookings via agencies rooms will be allocated on arrival
Single occupancy: when available sole occupancy is charged at the room rate less 15%. Please note that this applies only when booked direct and does not apply to bookings via agencies, or online bookings via the website
No single nights: we normally require a minimum 2-night stay : if available, single nights are released 3 days ahead, in addition there is a £15 supplement for any single night bookings Damage: we reserve the right to charge for the replacement, cleaning or repair of any item(s) belonging to bgh, or the fabric of bgh itself, damaged either wilfully or because reasonable precautions have not been taken. In this event your credit card will charged without prior consent being required against invoice(s) that will be provided for the costs incurred. Smoking: the whole of the premises of Beech Grove House, and the external areas are completely non smoking. Anyone who smokes will be immediately requested to vacate their room and leave the premises; any rooms tainted by residual tobacco odours will be specially cleaned and aired over a 24-hour period and all charges resulting from this, both actual and loss of business (at prevailing B&B rates) will be charged to the credit card given to secure the booking.

Beech Grove House Access Statement
We believe that our guests are both discerning and intelligent, and that they have sufficient common sense to function in the real world (which is the one most of us inhabit most of the time!). Unfortunately for most, if not all of us, we are living in a world increasingly hidebound by litigiousness and rules and regulations aimed at inhibiting our freedom to live as we see fit, make our own decisions and take our own risks. This document has been demanded of us by visit britain/quality in tourism (brought to you by the people who bring you ofsted) they even give us a template lest we miss something. We have complied, it doesn’t mean we really feel the need, and this paragraph is our tiny (and probably futile) stand against the tide of conformity sweeping the nation.
Introduction Beech Grove House is set in peaceful countryside and offers ffour guest rooms. Whilst we aim to meet the needs of all our guests there are some features which might make access difficult for people with limited mobility. We are located on a hill and have rooms at different levels, there are therefore steps into the house and between rooms. Ceilings are fairly low and sloping in some rooms. All bedrooms are on the first or second floors, and access to them is via staircases which incorporate winders, so access is not suitable for wheelchair users. We have recently renovated the house, and have incorporated a lot of glass balustrading in the stairwells, the house is unsuitable for children, or people who do not like heights, and we do not accept anyone under the age of 18 years. Pre-Arrival We are located on a narrow lane. Our location is peaceful and not central, and is not ideally suited to those travelling without a car. · The nearest shop is approximately half a mile away. · Lyme Regis is 1 mile away · The nearest bus stop is about half a mile away. Buses are infrequent. · The nearest railway station is Axminster which is approximately 5 miles away. Taxis from the station would need to be booked in advance, we can book one for you if required. · There are only a few local taxi companies, demand at peak times is high so it is advisable to book in advance we can make bookings for you. · We have one small dog and one medium sized dog and regret that we are therefore unable to accommodate dogs or other pets. · Our website www.beechgrovehouse.co.uk provides pictures of our accommodation and further information about the services we provide. · You can contact us by telephone, e-mail or post. Arrival and Car Parking · Please advise us of your anticipated arrival time so that we can be sure we are here to welcome you. · To ensure your accommodation is ready we ask that guests do not normally arrive before 4pm. Earlier arrival may, however, be possible by prior arrangement. · Access to the house is up a drive which has a fairly steep gradient in places. Parking is in marked bays to the right of the drive, there is a slope up to the house. · We offer assistance with luggage.
Main Entrance · The front door is through the covered walkway on the left at the top of the drive; the front door is straight ahead, there is a step into the house. Please ring the bell if no one is around when you arrive. · The guest entrance is through the double doors into the dining room, there is a step up to the door and a step down into the dining room
Guest Accommodation – Public Areas · The house is on different levels: downstairs the dining room, which has a slate floor with a rug, leads via a step into the guest lounge, this has a wooden floor with rugs · there is a downstairs toilet adjacent to the lounge, this has a tiled floor · a staircase from the lounge leads to the guest bedrooms: there are 12 steps to the first floor, including 3 winders , with a hand rail and glass balustrading, to a first floor landing, the stairs are carpeted · There are two guest bedrooms off this landing (yew and rowan), access to the other bedrooms is through a door into the sun room and then through a door onto another landing. · The sun room on the first floor is available for guests to use, folding sliding doors open out onto an external terrace. · If you need to speak to us we are usually around, but visit britain/quality in tourism require that we provide an additional means of communication, and, because we are not Pavlov’s dogs, we rejected their suggestion of a bell, so there is a walkie talkie in the sun room along with instructions for use ( we are looking for a gong for back up) · The house has underfloor heating throughout, but temperatures can be adjusted in each room to suit individual requirements. A fan heater is available on request.
Lounge and Dining Room · Guests are welcome to use the lounge at any time. · The lounge has two sofas, and ottoman, and three armchairs (two have higher backs); space is limited. This room does not have a tv, but a selection of books is available. · The lounge has a wooden floor with rugs and has a gas fire in addition to the underfloor heating. · A selection of local information, maps, magazines and books is available in the lounge. · Breakfast is served in the dining room, around a large communal table, some of the chairs have arms · The dining room has a slate floor with a large rug under the dining table.
Bedrooms/bathrooms · three bedrooms are on the first floor and the fifth is on the second floor, all are carpeted throughout, as are the staircases via which they are accessed. · There are en suite facilities in all rooms: elm, yew and rowan have steam /showers, WC and wash basin; oak and ash have whirlpool baths/steam shower, WC and wash basins; all wash basins have lever operated mixer taps. All bathrooms are fully tiled. All steam showers are used at your own risk, not suitable for people with certain medical condition; please consult your doctor if you are unsure. · A fridge, kettle, tea and coffee facilities and bottled water are provided. · All bedrooms have flat screen multi channel tv (free to air channels only), dvd/cd player; alarm clock/i pod dock · We also provide a hair dryer, sewing kit, twin socket adapter; a selection of magazines. · Our beds are made up with cotton sheets; blankets and bedspreads; all pillows are synthetic · Bathrobes and slippers are provided · There is a wardrobe, drawers, bedside and dressing table in each room. · Unless stated our bedrooms are not large enough to accommodate additional seating. · There is a folder in each bedroom which contains further information about the house and details of places to eat, emergency contacts including doctors, dentists and hospitals.
Bedroom 1- yew · this is to the right at the top of the stairs from the guest lounge, it has a sloping ceiling. · this room has a king sized double bed with access from both sides. · The bathroom has a steam /shower, the threshold is 10 inches , there is a WC and a vanity unit with cupboards underneath · There is direct access from this room onto the sun terrace in front of the sun room Bedroom 2 - rowan · This is straight ahead at the top of the staircase from the guest lounge; it has a sloping ceiling · This room has a 4ft 6in double bed with access from both sides. · The bathroom has a steam /shower, the threshold is 10 inches ,a WC, and a wash basin set into a vanity unit with cupboards underneath · There is a private decked area outside this room which gives direct access onto the garden, the step down onto the decking is 7 inches Bedroom 3 – oak · This bedroom is accessed through the sun room and is immediately on left as you enter the landing from the sun room · This room has a king sized four poster bed, the bed is quite high 26 inches, it is accessible from both sides · The bathroom has combined whirlpool bath and steam /shower, the step in is 24 inches , there is a wash basin and WC · There is direct access from this room onto the sun terrace in front of the sun room Bedroom 4 – ash · This room is on the second floor, and access is via a second staircase of 13 steps including 3 winders, from the landing of the main house reached through the sun room · This bedroom has a king size double bed, with access from both sides, in addition it has a large “love seat”; it has a sloping ceiling · The bathroom has combined whirlpool bath and steam /shower, the step in is 24 inches there is a wash basin and WC ; it has a sloping ceiling · This room has its own private balcony, accessed via double doors
Gardens · We have a 2.5 acres of garden mostly grassed with trees, it is on a steep gradient; there are three lawned terraces, accessed by steps made from old railway sleepers set into the banks, guests are very welcome to enjoy the garden at all times, but care must be taken as the ground is uneven · There are several flights of steps to access the garden beyond the lower patio and decking. · There is a summer house at the top of the garden (approx 200 yards from the house), and a barbeque lodge 100yards up the garden · Sun loungers and garden chairs are available for guests. · Access to the garden is via the courtyard outside the dining room, from which there are seven steps, a bridge across the pond and a further seven steps to a patio, from the patio a further two steps will take you onto a decked area where the hot tub is located · The hot tub: this is accessed by two steps, it is still quite high and may not be suitable for people with limited mobility. It is used at your own risk, please observe the safety notices; food and drink must not be consumed in the hot tub; please shower before using it; separate towels are available. · there is a courtyard with a table and chairs outside the dining room door which can be accessed without climbing any further steps. · at the front of the house is a gravelled terrace with benches · there are tables and chairs on the sun terrace in front of the garden room
Additional Information · There is a fire extinguisher on the landing outside the ash bedroom and also on the landing between the oak and elm rooms. · Beech Grove House has mains operated smoke detectors, in the event of a fire these will sound. Please advise us if you have a hearing impairment and might not hear this. · THERE ARE SPECIFIC FIRE EVACUATION INTRUCTIONS IN EACH OF THE BEDROOMS, AND THE GUEST AREAS · We do not permit smoking in any part of the house or its grounds. · Dietary requirements: We offer an extensive menu but we regret that we are not able to accommodate any person(s) with a serious and/or life-threatening nut or food allergy as we cannot guarantee the provenance of every item of food in our kitchen. We shall try to cater for any other dietary needs, but as we are a small operation we cannot guarantee availability of specialist produce · Mobile phone reception at the house is generally ok but there are some blind spots.
